Scope

This policy describes how VoqText (voqtext.com) handles personal data when you visit the site, use the product as a guest or as a signed-in member, or contact us. It is written to match the product as built; where a capability is not yet available, this policy says so rather than describing it in advance.

Data we process

  • Account data: email address, display name, interface language, theme and session information.
  • Content you upload or record: audio and video files, the transcripts, edits, exports and derived files produced from them, and the titles and names you enter.
  • Guest sessions: an opaque, expiring session identifier stored in a cookie, the upload you make, its transcript preview and a hashed network identifier used only for abuse limits.
  • Technical data: request identifiers, hashed IP addresses and user-agent hashes in security and audit logs; error reports without transcript content.
  • Billing data: when billing is enabled, subscription status and identifiers from the payment provider. Card details never reach VoqText.

How content is processed

Uploaded media is stored in private object storage under your workspace or guest session. A worker extracts and normalizes the audio and sends it to the configured speech-to-text provider, currently ElevenLabs, which returns text and timing. Highlights, chapters, search results and quote templates are computed by VoqText from that transcript without sending it to any other AI provider. Providers and their roles are listed on the AI processing disclosure and subprocessor pages.

VoqText does not use your content to train models. Provider data-handling terms apply to the processing they perform on our behalf.

Legal bases and purposes

  • Performing the service you request (contract): storing, transcribing, editing and exporting your content; managing your account and workspace.
  • Security and abuse prevention (legitimate interests): rate limits, guest quotas, audit logs with hashed identifiers.
  • Consent: microphone access, recording confirmations, non-essential emails and, on public pages only, Google Analytics measurement (see the cookie policy).
  • Legal obligations: tax, accounting and responding to lawful requests.

Retention

Guest content is deleted automatically after the retention period displayed on the preview page unless it is claimed by an account. Workspace content is kept until you delete it or your plan’s retention policy applies. Exports expire after a short period. Details, including backup windows, are in the data retention policy.

Your rights

Depending on where you live you may have rights to access, correct, export, restrict or delete your personal data and to object to certain processing. You can exercise them from your workspace settings as those controls ship, or through the contact page. We verify requests before acting on them and respond within the time required by applicable law.

International transfers and security

Hosting and provider regions are configured per deployment and listed on the subprocessor page. Data in transit is encrypted; storage is private with encryption at rest where supported by the configured storage provider; access uses short-lived signed URLs; passwords are hashed with a modern memory-hard algorithm. No certification such as SOC 2 or ISO 27001 is claimed unless stated on the subprocessor page.

Children

VoqText is not directed at children under 16 and does not knowingly collect their data.
